Explain the relationship between personal resources, business results and actual cash available. A clear reconciliation is more useful than presenting one favorable financial number without its supporting evidence.
Organize both sides of the financial picture
Prepare the actual lender's requested personal and business documents, including relevant ownership interests and contingent obligations. AOPA's published process illustrates that self-employed applicants may need both business and personal evidence. Obtain the lender-specific list and secure submission method rather than treating any public checklist as complete or sending sensitive documents through an initial website inquiry.
Reconcile earnings and cash
Explain how business results connect to distributions, taxes, debt service, working capital and the owner's accessible funds. Avoid equating gross revenue with personal income or a company bank balance with freely distributable cash. Have the accountant identify accounting and timing differences instead of applying unsupported add-backs simply to reach a desired purchase budget.
Document seasonality and changes
Provide context for uneven receipts, one-time events, recent acquisitions, partner changes or major commitments. Use dated evidence and distinguish historical results from forecasts. A forecast can describe a scenario, but should not be labeled established repayment capacity. Keep a lower-income and reduced-distribution case in the ownership budget.
Preserve operating liquidity
Set aside funds the business needs before allocating money to down payment, taxes and aircraft reserves. If assets must be sold or borrowed against, document timing, restrictions and associated obligations. The owner's ability to carry the jet through a weak business period matters independently of whether funds happen to be available on closing day.
Illustrative decision worksheet
Illustrative only: a business earns $1 million before planned distributions, but needs $600,000 for tax, existing debt and working capital. The remaining $400,000 is not automatically all available for aircraft ownership; document other personal commitments and reserve needs. The worksheet illustrates reconciliation, not a lender income formula or approval threshold.
