Prepare a complete, organized file using the actual lender’s requirements. Keep contact-only website intake separate from later secure collection of identity, financial and transaction records.
Create a secure document index
Ask for the lender's secure channel and exact requirements. Organize borrower identity, financial statements, tax information, liquidity and obligations by dated file. Do not upload SSNs, bank details or personal tax returns into a public inquiry form. A concise index helps the reviewer identify what is present, current or still outstanding.
Separate party and aircraft records
Keep entity formation, authority and ownership evidence distinct from aircraft specification, serial, times, programs and maintenance. Record who supplies each item and whether it has been reviewed. When legal names differ across documents, obtain clarification rather than silently correcting a signed document or assuming the difference is harmless.
Track transaction and closing evidence
Include purchase agreement, deposit treatment, inspection arrangements, aircraft acceptance, insurance, title work and funding instructions as applicable. An initial document list is not the closing checklist. Ask which items are needed for credit review, aircraft review, document preparation and release of funds so timing and responsibilities remain clear.
Keep version control practical
Use dates and descriptive names, mark superseded versions and maintain a list of open questions. If price, aircraft, entity or closing date changes, ask which documents need refreshing. Do not assume that a reviewer receiving a file means the fact is accepted or the condition satisfied; record the actual confirmation separately.
Illustrative decision worksheet
Illustrative only: a buyer supplies a bank statement proving cash at application, then uses part of that cash for another purchase before aircraft closing. The earlier statement remains a historical record but no longer establishes current liquidity. Update the file and lender discussion rather than treating the original upload as permanent evidence.
