The decision in focus

Which assumptions changed, and what cash decisions follow?

Collect a consistent monthly package

Request actual flight hours, invoices, management statements, program charges and relevant maintenance updates. Preserve the underlying documents behind summaries. Separate owner operation from third-party activity when applicable. Agree who produces the package and when, and keep access to company and aircraft accounts under appropriate controls. A dashboard without supporting evidence can conceal a classification error just as easily as a spreadsheet can.

Explain variances rather than only totals

Compare actual spending with the same-period budget and identify price, usage, timing and one-time effects. A maintenance invoice arriving early is different from an increase in expected annual cost. Fuel expense can rise because of price, hours or mission mix. Keep those drivers separate. Do not claim favorable performance merely because a necessary expense or program payment has not yet been invoiced.

Update the forward cash calendar

Review known renewals, training, maintenance events, tax obligations and loan maturity. Replace estimates with confirmed quotes as they become available. Keep disputed or unpriced items visible and maintain a contingency. Qualified personnel must control technical status and return-to-service matters; the financial review records cost and timing consequences without turning a budget target into an operational instruction.

Maintain an evidence-based decision record

Document approved changes, responsible people and the assumptions supporting them. Reconcile reserve balances so money set aside is distinguishable from money spent. Review provider scope and contract permissions before material changes in use. Preserve the history for refinancing, tax preparation and eventual sale. The outcome should be a clearer remaining-year cash forecast and specific actions, not a decorative report that repeats last month's numbers.

Your next-step checklist

  • Collect underlying invoices.
  • Explain variance drivers.
  • Update upcoming cash needs.
  • Record decisions and owners.
