Which near-term events need cash outside the flight-hour budget?
Create an aircraft-specific event list
Ask the technical adviser for the applicable maintenance status and scheduled events, including calendar items and auxiliary power unit obligations where relevant. Do not assume all models share the same equipment or intervals. The financial worksheet should record the event, due basis, expected timing, quote and responsible provider. It is a budget aid, not a substitute for approved maintenance tracking or airworthiness decisions.
Distinguish flight, engine and APU units
Airframe hours, engine hours, cycles and APU usage need not be interchangeable. Use the unit specified by the contract or technical record. A reserve calculated against flight hours can misstate an event driven by a different measure. Avoid converting units through a generic ratio unless the professional has supplied an appropriate planning assumption for the actual operation and the limits are clearly shown.
Place cash in the correct year
An annualized reserve can explain long-run economics but does not reveal the cash required for a major event next quarter. Show expected event payments in a dated cash-flow view. If the seller has recently completed work, verify exactly what was done and which future obligations remain. The fact that an aircraft flew few hours last year does not prove that its upcoming calendar work is inexpensive.
Check coverage and downtime separately
Ask whether a parts or labor plan covers the event and which expenses remain excluded. Account for transport, associated findings and substitute travel only where quoted or explicitly assumed. Keep technical completion and return-to-service decisions with qualified personnel. The owner should have a funded contingency without pressuring a maintenance provider to fit work into an unrealistic budget or promised travel date.
Your next-step checklist
- Review maintenance status.
- Use correct hours and cycles.
- Map calendar events to cash flow.
- Confirm coverage and exclusions.
