The decision in focus

A coherent records package connects the aircraft being offered with its condition, obligations and value. Supply organized evidence early, while retaining independent technical review and clearly identified gaps.

Build an index rather than a document dump

Separate airframe, engine, component, modification, inspection and program records. Identify the period covered and the person maintaining the index. Link current status reports to underlying records instead of treating software summaries as complete evidence. The goal is to let the technical adviser and lender locate relevant facts without assuming missing documents are immaterial.

Reconcile identity and history

Check serial numbers, installed engines, times, cycles and major changes across the specification, records and tracking system. Ask the independent technical adviser to investigate differences. Do not fill a gap with an unsupported estimate or assume a cosmetic refurbishment establishes maintenance condition. Preserve a written list of unresolved questions and the evidence requested.

Identify forward commitments

Show upcoming events by both calendar and utilization, program coverage, exclusions and transferable warranties. Distinguish scheduled expense, reserve contributions and potential discrepancies. A recent inspection may improve the picture but does not erase future obligations or prove that the pre-purchase scope covers every issue relevant to the buyer.

Resolve gaps before irreversible commitments

Coordinate the records review with purchase contingencies, inspection and lender conditions. Ask which gaps require more evidence, additional inspection or valuation reconsideration. The appropriate response depends on the actual missing information; avoid universal claims that a particular gap automatically prevents a loan or is harmless.

Illustrative decision worksheet

Illustrative only: the seller's specification lists one engine serial while a recent tracking report lists another. The next step is obtaining installation and identity evidence, not choosing whichever entry looks newer. Keep the discrepancy on the closing conditions list until the technical and title advisers reconcile it and the lender has the corrected facts.

Your next-step checklist

  • Records index
  • Identity reconciliation
  • Forward maintenance
  • Unresolved evidence register
