The decision in focus

Obtain acceptable coverage and reconcile its conditions before funding and delivery.

Give the insurer the actual operating facts

Provide the aircraft identity, value, ownership entity, pilots, training, base, intended use and other information requested through a secure professional channel. Personal, business, mixed and charter-related use should not be treated as interchangeable. Ask the broker to identify required pilot qualifications, training, exclusions and any conditions that must be met before operations.

Reconcile the lender and service agreements

AOPA's financing FAQ notes that lenders have insurance requirements, including coverage protecting the lender. Obtain the actual lender's requirements rather than copying another company's limits or endorsements. Also have the broker review the intended hangar or management agreement. An acceptable lender certificate does not automatically mean every operating or contractual insurance obligation is satisfied.

Work an illustrative timing gap

Suppose a buyer has an attractive insurance indication, but the proposed pilot still needs required training or underwriting approval. If the purchase closes first, ownership and permitted operation may not align. The team should obtain a documented plan for coverage, pilot conditions and the delivery crew before the deadline. A low quoted premium should not be compared with another policy until scope and conditions match.

Confirm binding and handover

Ask the insurance professional to provide the required evidence of bound coverage and effective time, consistent with the contract, lender and delivery plan. Record who is responsible for communicating any aircraft, entity, pilot or use change. Keep the final evidence with escrow and operating records. A financing intake does not bind insurance or establish that an aircraft, pilot or use is insurable.

Working document to prepare

Maintain an insurance status record distinguishing initial indication, underwriting questions, accepted pilot conditions, binding instruction and final evidence. Include the effective time, aircraft and entity identities, actual lender requirements and any outstanding endorsement. Ask the licensed broker to confirm accuracy. If the aircraft, pilot, use or delivery plan changes, route the change back for review instead of treating the original premium indication as a permanent commitment to cover the new facts.

Your next-step checklist

  • Disclose actual aircraft, pilots and use.
  • Obtain this lender's requirements.
  • Resolve training and underwriting conditions.
  • Confirm bound coverage and effective time.
