Establish a documented delivery plan consistent with the transaction and qualified tax advice.
Separate the relevant locations and times
Record where the aircraft is inspected, where title and risk transfer under the agreement, where physical delivery occurs, the first functional use and the intended base. Ask the aviation tax adviser which facts and records matter to this transaction. Taking delivery outside California must not be described as an automatic use-tax exemption. The actual conditions and documentation need professional review.
Coordinate the whole team
Have counsel, escrow, the lender, insurer and operator use the same delivery timeline. Clarify who authorizes the movement, who is responsible for the flight and when insurance must be effective. A tax-driven location suggestion is not an operational clearance. The selected crew must independently evaluate the aircraft, route and current conditions using appropriate authoritative materials.
Use an illustrative document conflict
Suppose the closing statement, delivery receipt and flight records describe different dates or locations. Even if the discrepancy is an administrative error, the buyer should resolve it with the responsible professionals and preserve accurate evidence. Creating a convenient replacement narrative after the flight is not sound transaction planning. The illustrative issue shows why an evidence checklist belongs before delivery, not after a tax inquiry.
Retain accurate records through the relevant period
Assign responsibility for purchase documents, delivery acknowledgment, flight and maintenance logs, fuel and hangar receipts, insurance and other records requested by the adviser. The CDTFA guide describes fact-dependent exclusions and documentation. Have the adviser assess the actual flight pattern and its supporting evidence. Keep the acquisition-tax workstream distinct from the county's annual aircraft assessment and the owner's income-tax analysis.
Working document to prepare
Prepare a contemporaneous event timeline with contract milestone, title or risk transfer as advised, delivery location, insurance time, operator, first use and relevant records. Ask the tax adviser to specify the evidence needed for the actual analysis. Assign a collector for each record before travel. Preserve accurate discrepancies and corrections through the professionals rather than editing the history into a preferred tax narrative after the aircraft has moved.
Your next-step checklist
- Map inspection, delivery, first use and base separately.
- Obtain qualified tax review before movement.
- Align insurance and operating authority.
- Preserve accurate contemporaneous records.
