Establish a complete, usable records package for technical and financing review.
Build an indexed package
Ask the technical adviser to identify the required airframe, engine, component, inspection, alteration and equipment records for the actual aircraft. Index what was supplied, its date range and source. A folder of scans is not automatically complete or authoritative. Retain originals and record how copies relate to them, with secure access appropriate to the transaction.
Identify gaps rather than paper over them
Review the package for missing periods, serial-number inconsistencies, unexplained changes and references to documents not supplied. AOPA's checklist specifically highlights log review, installed equipment and documentation of repairs or alterations. Have a qualified adviser decide the significance; the significance of a missing record depends on the aircraft and evidence; a seller statement alone does not close that gap.
Work an illustrative component-history issue
Suppose a specification sheet states that an engine has 1,200 hours since a major event, but the records supplied do not establish the event or identify the current serial number consistently. The buyer should classify the statement as unverified, request supporting evidence and ask the technical adviser and lender what additional work is needed. The listing's number should not flow into a reserve model as a confirmed fact.
Connect records to acceptance and delivery
Include required records in the purchase agreement and final delivery checklist. Track which gaps have been resolved, accepted knowingly or remain conditions to closing. Update the first-year maintenance budget using the reconciled evidence rather than the original advertisement. Keep the final records index with title, financing and insurance documentation without assuming any one workstream substitutes for the others.
Working document to prepare
Prepare a records register with document category, serial number, covered period, source, original location, digital copy and unresolved reference. Let the technical adviser classify each gap's consequence rather than apply an automated value deduction. Track requested evidence through resolution and identify any reliance on a seller assertion. Export a final handover index that the new operator can use, keeping the aircraft's technical baseline separate from the registry and financing files.
Your next-step checklist
- Index records and their provenance.
- Reconcile serial numbers and dates.
- Flag gaps as unresolved evidence.
- Include required records in acceptance and handover.
