Does the recurring multi-city itinerary justify the ownership structure?
Capture the itinerary as legs
Document passenger and aircraft movements separately, including any positioning without the owner. Identify meeting flexibility, overnight possibilities and actual ground destinations. An annual estimate based only on occupied hours can omit costs of making the aircraft available. Keep hours and cycles consistent with technical planning inputs. Use operating-team estimates for route hours and positioning; keep schedule changes and alternative travel explicit.
Compare credible alternatives
Obtain charter or commercial-travel options for the same group and business purpose, including necessary overnights and ground travel. Do not compare a fully flexible owner itinerary against an artificially inconvenient alternative. Ask travelers which meetings truly require in-person attendance. If assigning monetary value to time, use a transparent user-entered assumption and keep it separate from hard-dollar cash savings so the comparison remains honest.
Model complete trip costs
Include applicable fuel, handling, parking, crew travel and other quoted expenses. Allocate annual fixed costs using a stated method when presenting average trip cost. Show incremental trip cost separately. A day with several stops may consume aircraft time and support resources differently from one nonstop round trip. Distinguish the operating budget from loan principal and interest to avoid mixing economic and financing measures.
Preserve flexibility for changes
Meetings can overrun and operating conditions can change. Establish who approves revised travel and alternative arrangements without putting pressure on the crew. Run a scenario with fewer annual itinerary days and another with an additional overnight. Ownership commitments remain even when the ambitious schedule becomes less frequent. Use the comparison to understand sensitivity rather than promising a productivity multiplier for every California business owner.
Your next-step checklist
- Record all aircraft legs.
- Compare fair alternatives.
- Separate incremental and allocated costs.
- Model changed meetings and overnights.
