The decision in focus

Determine whether the complete transaction is ready for the agreed closing sequence.

Use a conditions register

List each technical acceptance item, title exception, release, loan condition, insurance requirement, registration document, delivery responsibility and payment. Assign the person authorized to clear it and the evidence needed. Mark an item complete only when that owner confirms it. A green status from one participant should not silently clear a condition owned by another professional.

Reconcile identities and amounts

Check aircraft and engine serial numbers, legal entity names, signer authority, price, deposit, lender advance, buyer equity, payoff and credits across final documents. Confirm whether funds are received, pending or merely expected. Review the closing statement against the acquisition cash model so deposits, financed fees and seller credits are counted consistently. Have professionals correct discrepancies rather than improvise around them.

Work an illustrative readiness failure

Suppose inspection is accepted, title work is ready and buyer equity is in escrow, but the lender still needs an insurance endorsement. The transaction may be close to completion, yet that remaining condition still matters to funding. The checklist should name the insurance professional and lender responsible for resolution. A buyer's excitement or scheduled delivery flight is not evidence that the condition has been waived.

Agree the final sequence

Confirm the communication channel, authorized instructions, cutoff times, effective insurance, registry actions and delivery steps. Independently verify any changed wiring instructions. Have the operator assess the current flight and the tax adviser review the documented delivery plan. Retain final confirmations and an unresolved-items record; do not treat a website checklist as a professional certification that the transaction may close.

Working document to prepare

Use one controlled readiness document with condition, evidence, clearance owner, deadline and final status. Require explicit clearance for unresolved items instead of inferring approval from silence. Add the version and time of the final funds statement, document package and delivery instruction. Keep superseded copies from becoming operating instructions. The checklist's purpose is coordination: each legal, technical, lending, insurance or title conclusion still belongs to the professional authorized to provide it.

Your next-step checklist

  • Name each condition's clearance owner.
  • Reconcile legal names and asset identities.
  • Reconcile price, funds and credits.
  • Confirm sequence and independent wire verification.
