Complete a controlled transition from seller to owner and operator.
Separate the transaction milestones
Technical acceptance, title transfer, payment, physical delivery and readiness for the first owner flight may occur through different agreed steps. Have counsel, escrow and the operating team define the sequence rather than use delivered as a vague substitute for all of them. Confirm who has custody, risk and authority at each stage according to the actual documents and insurance arrangements.
Inventory the handover package
List the aircraft configuration, original and copied records, manuals, keys, equipment, subscriptions, program confirmations, registration evidence and service contacts required by the agreement. Verify that named items were actually received and usable. A folder link or box of papers is not a reconciled inventory, and a seller's account login may not be transferable or appropriate for the new owner's use.
Work an illustrative incomplete transition
Suppose closing funds move and the aircraft arrives, but the owner lacks a needed records archive and the program provider has not confirmed transfer. The financial transaction may have reached one milestone while important handover obligations remain. Track the items, responsible party and contractual remedy through counsel rather than mark the whole acquisition complete because the airplane is on the ramp.
Establish the owner's baseline
Retain final technical status, accepted discrepancies, title and loan records, insurance evidence, program terms, the first-year budget and provider agreements securely. Assign ongoing owners for maintenance tracking, records, tax evidence and scheduling. Have the flight team confirm current operating readiness independently. Use the baseline to compare actual ownership costs later rather than rely on the original listing or preliminary financing illustration.
Working document to prepare
Prepare a signed or otherwise professionally acknowledged handover inventory listing each required document, asset, access right, program confirmation and unresolved item. Record when and by whom it was received. Include the final technical status, insurance evidence, operating responsibility and first-year calendar as separate deliverables. Ask counsel how acceptance is documented under the contract; an internal checklist should accurately support the transition without purporting to override the agreed legal sequence.
Your next-step checklist
- Define each acceptance and delivery milestone.
- Inventory documents, assets and access.
- Track unresolved handover obligations.
- Create a secure final ownership baseline.
